Analysis by Dimensions In Sales & Marketting

Viewing Sales Analysis Views by Dimensions


In the Sales Analysis by Dimensions window, you can look at the amounts in your general ledger using the analysis views you have already set up. The window consists of a header with three tabs and a matrix-box with rows and columns. The left-hand columns contain information based on what you have selected in the Show as Lines field in the header. The right-hand columns contain information based on to what you have selected in the Show as Columns field in the header.
The columns in the window also display the following information:

CodeThis column shows the code given to a dimension value.
NameThis column shows the name given to a dimension value.
Total Amount This column shows the Total Amount for the amount type that you select on the Options tab in the Show field.
MatrixEach column in the matrix to the right of the window shows amounts based on an analysis view. You can click Net Change or Balance at Date to see these amounts in different ways. You select the periods with the buttons in the lower left-hand corner of the window.

Different Price Levels In Sales
For selecting different prices for an Item in the Sales Order you have to follow mainly 2 steps.
  • Setting Sales Price in the Item Card
  • Selecting price in the Sales Order
  • Setting Sales Price in the Item Card
  1. Open Item Card

  2. Sales --> Prices. This is Sales Price window where, You enter the selling price per unit in the Unit Price field on the item card, but you may also need to set up some individual sales prices for items. You do this in the Sales Prices window, which you find by clicking Sales, Prices on the item card.
    In the Sales Prices window, you can specify the conditions that must be met before a customer can be offered an individual unit price for a specific item when quotes, orders, invoices and credit memos are set up. For example, the conditions can require that the customer is linked to a particular customer price group or the invoice is in a particular currency. They can also contain a starting date and an ending date, between which the sales price is valid, and they can contain a specific unit of measure code. You can also define a combination of the conditions under which the sales price applies. You can set up several sales prices for each item, but each must have a different set of conditions.
    Because a sales price is often a reduced price, you can specify in the Sales Price window whether you also want the program to combine line and invoice discounts when a sales price is offered.
    When you enter an item on an invoice, for example, the program automatically looks in the Sales Price table to see whether it contains a sales price for the item. If it does, the program checks whether the starting date has arrived and the ending date has not. If the conditions are met, the program will enter the sales price in the Unit Price field on the invoice. If not, the program will use the basic unit price from the item card.

  • Selecting price in the Sales Order
  1. Open Sales Order(Sales & Marketing--> Order Processing Orders)
  2. Fill the header part as normal.
  3. In the line part first enter an Item number & Quantity , then goto Functions -> Get Price... There you will get the Sales Price window just now we had updated.
  4. Select the appropriate price line and press OK button to apply.

Creating Drop Shipments
A drop shipment is the shipment of an item or a consignment of items from one of your vendors directly to one of your customers.
Before you can use this feature, you must first set up the customer, vendor and item cards necessary to the order.

To Create Drop Shipments:

Fllowing steps shows how to do the Drop Shipment via Navision

  • 1)Create and fill in a sales order for the item
  1. Open the Sales Order(Sales & Marketing-->Order Processing-->Orders) window.
  2. Press F3, and then press Enter to create a new order with a new document number, or enter a number manually in the No. field.
  3. Click the AssistButton in the Sell-to Customer No. field to see the Customer List window. Select the customer that is to receive the item, and then click OK.
  4. On the first sales line, in the Type field, click the AssistButton and select Item.
  5. In the No. field, click the AssistButton to see the Item List window. Select the number of the item to be sold, and then click OK.
  6. On the sales line, in the Purchasing Code field, click the AssistButton to see the Purchasing Codes window. (The Purchasing Code field is not shown in the standard layout. To insert this field, use the Show Column function). Select a purchasing code that has a check mark in the Drop Shipment field and click OK.
  7. Fill in the remainder of the information to complete the sales order.

  • 2)Create and fill in a purchase order for the item
  1. Open the Purchase Order(Purchase --> Order Processing--> Orders) window.
  2. Press F3, and then press Enter to create a new order with a new document number.
  3. In the Buy-from Vendor No. field, select the vendor that will ship the item, and then click OK.
  4. On the Shipping tab, in the Sell-to Customer No. field, enter the number of the customer that is on the sales order.
  5. Click Order, Drop Shipment, Get Sales Order. The Order - Sales List window appears.
    Select the sales order that you will use to create the purchase order, and then click OK to create the purchase order.


Note
The sales order line on the sales order must have a purchasing code of Drop Shipment.
If item tracking was assigned on the corresponding sales order, the Get Sales Order function will also copy the item tracking lines to the newly-created purchase order. You can view them under Line, Item Tracking Lines.
You cannot post a drop shipment order that has item tracking unless item tracking is synchronized - serial numbers and lot numbers must be the same - between the two related orders.

  • 3)Receiving & Invoicing against the Drop Shipment
  1. After you have released the purchase order, you must wait until the vendor informs you that the items have been shipped to the customer. You can then post the sales order. On the Sales Order window, click Posting, Post. Then select either Ship (to invoice it later) or Ship and Invoice (to invoice it immediately).
  2. After you have posted the sales order as shipped, you can also post the purchase order as received. If the sales order has been invoiced, you can also invoice the purchase order.

Note:
You cannot post the sales order until it has been linked to a purchase order.
You can post the purchase order immediately or at a later date. When posting, you can only select Receive, because the linked sales order must be invoiced before you can invoice the purchase order.
If item tracking was assigned on the corresponding sales order, the Get Sales Order function will also copy the item tracking lines to the newly-created purchase order. You can view them under Line, Item Tracking Lines.
You cannot post a drop shipment order that has item tracking unless item tracking is synchronized - serial numbers and lot numbers must be the same - between the two related orders.

When you create a sales order for Item with substitution setup, Navision will place a check mark at the Substitution Available field in the Sales Order Line.
If the quantity that you entered in the Sales Order Line exceeded the available inventory, Navision will prompt up an message as follow:

Please note that the Substitutes Exists field is checked if the Item has substitute.
To substitute an item in the Sales Order Line with the substitution, click on
Line --> Select Substitution to open the Customer Item Substitution window. Select the substitution item and then click on the OK button. The item in sales order line will be replaced with the substitution item.

How to combine several sales orders into one invoice ?
It is very common that your customers make order from you in several sales order and delivery. Instead of sending your customers one invoice for each sales order, you want to combine the details of all the sales orders into one invoice and send only one invoice to each customer.
Navision enable you to handle the above mentioned situation by enabling the Combine Shipments option.

To use combine shipment:

  1. Open a Customer Card.
  2. Click on the Shipping tab.
  3. Place a check mark at the Combine Shipments field.


OK. After you setup the customer to be able to use combine shipments, whenever you create a new sales order for the customer, the Combine Shipments field in the Sales Order will be set to true. You can then run the Combine Shipments batch job to extract those sales orders with combine shipments marks to an invoice.

To run the Combine Shipments batch job:

  1. Go to Financial Management --> Receivables --> Combined Shipments
  2. Put in the filter to filter what sales order you want to select.
  3. Click on the OK button to let Navision generate the invioces for you.

Blanket Sales Oder is the type of Sales Oder that can be easily converted to Sales Order whenever we needed.
You use the Blanket Sales Order window to enter the relevant information when you create a blanket sales order.
On the four tabs, you enter general information about the sell-to and bill-to customers, such as name, address, document number and date, and information about shipment and currency. Most information about the customer is copied from the customer card when you enter the customer number on the blanket sales order. On the lines, you enter information about the items to be sold.
When you have finished filling in the blanket sales order, you convert it to a sales order.
